Google will end unlimited Google Workspace (Gmail, Google Drive and Google Photos) storage for Case Western Reserve users starting July 2024—a change that requires the university to reduce its storage in those platforms by roughly 75%.
[U]Tech will apply a 100 GB cap per user for Google Workspace beginning 11/2/2022. Individuals who are using more than 100 GB will be temporarily given a cap above their current storage in Gmail, Google My Drive and Photos so their work is not impacted (files in Shared Drives are not counted against these caps, but will have limits set at a later date). Accounts that subsequently exceed the initial cap that has been applied will have access to all Google services and retain all of their data. However, they will be blocked from uploading more documents to Google Drive and any documents they have shared with others will become read-only until their storage falls below 100 GB.

How to Check your Storage
- Sign into Google Drive
- From the left side menu click on "Storage"
- Google displays the total storage, breaking it down for each service. Shown below are a list of your files in Google Drive starting with the largest ones first.
Note: Recently discarded files affect your storage total until they are permanently removed. Select "Trash" from the left side menu, then click "Empty trash". Return to "Storage" to see your new total.
Transfer Google Photos
To do this, follow Google's instructions to set up partner sharing, keeping these points in mind:
- Enable partner sharing from your CWRU account, selecting your personal Google account as your CWRU account's partner.
- Approve the partner request from your personal Google account.
- From your personal Google account, follow Google's instructions in the Save your partner's photos expandable section to add the photos in your CWRU account to your personal account.
- When the process has fully completed (this may take some time), delete the photos in your CWRU account.
