Welcome to Case Western Reserve’s Zoom service. As you start to use Zoom, we want you to be aware of important security concerns and your responsibilities as a Zoom meeting host.
“Zoombombing” incidents—in which online meetings are interrupted with inappropriate material or behavior—continue to occur. Zoombombing can happen under a variety of circumstances, but most often occurs when a link is shared publicly on the internet (e.g., social media platforms, non-password-protected websites), when the owner or host of the meeting isn’t actively monitoring it, or when proper controls aren’t in place to lock down the meeting.
There are steps you can take, however, to minimize the risk of Zoombombing:
- Never share Zoom links publicly on the internet; instead, only use Google Calendar, Canvas or email to distribute Zoom links, or build registration forms in Zoom.
- If you’re hosting a public event, create a Zoom webinar.
- Protect the meeting by using waiting rooms or turning off screen sharing.

As a reminder, when hosting Zoom meetings through your Case Western Reserve account—whether for a university meeting, with one of our affiliate partners (such as Cleveland Clinic, MetroHealth Medical Center and University Hospitals) or any other group—you are responsible for the content and for acting to ensure the meeting is being used for its intended purpose and by its anticipated attendees. You also are responsible for preventing disruptions and/or removing any “Zoombombing” participants from your meeting.
Please follow any possible prevention measures to ensure your meetings do not fall victim to this distracting—and potentially disturbing—trend.
