Affiliate Accounts

 

Introduction

Affiliate accounts can be requested by a full time faculty or staff member for anyone who is working with or affiliated with the university who has not already received an account due to a previous or current engagement with the university as a member of the university's faculty, staff, or students.

Usage

When a user needs an affiliate account, please ask if they've ever had a Case Network ID and if so, what it is. It is always preferable to renew an existing account than to create a new one, as unintended duplicates often cause confusion and require cleanup by UTech. If you have confirmed that the user has never had a Case Network ID, you can proceed with creating a new ID. If the system detects what it believes is an existing account for the person you are trying to create an affiliation for, you will be prompted to confirm whether or not it is the same account. Please do not ignore those prompts. If a duplicate account is created as a result of incorrectly answering, use of the new account may be delayed while UTech works to cleanup the duplicate account

Note: if you are connecting to the form from off campus, you will need to be connected to the campus VPN to use it. Please see https://case.edu/utech/help/forticlient-vpn if you need assistance with setting up VPN.

Renewing an Account

If the user already has a Network ID, please use the affiliate request form to renew their account. You can do so by following the below instructions:

  1. Go to https://its-services.case.edu/my-case-identity/affiliates/request/.

  2. Select "Renew an existing account" if not already chosen. Click "Continue."

  3. Enter the user's Network ID in abc123 format.

  4. Choose the appropriate School or Business unit. If the user will not be affiliated with a specific school, choose "University General."

  5. Choose an affiliation. If none of the listed affiliations seem appropriate, choose "Affiliate (Other)."

  6. Choose an expiration date for the affiliation. 

    1. This defaults to one year in the future. Expiration dates beyond one year cannot be chosen and the ID will need to be renewed at that time if it is still needed.

    2. To terminate an affiliation choose a date in the past, usually selecting yesterday's date will be sufficient to terminate the selected affiliation

  7. Click "Renew this account."

If all of the steps have been followed correctly, you should see a green "Success!" message. If you see this message, the ID has already been successfully renewed and the user should be able to log in and access their email and other university resources within a few hours.

If the user needs any assistance with activating their account or resetting their passphrase, please have them email help@case.edu or call 216-368-4357 (HELP).

Request a New Account

If you have confirmed that the user does not have an existing Case Network ID, you can request an account for them. The following pieces of information are required to create an account:

  • First Name

  • Middle Name (optional if the user does not have a middle name)

  • Last Name

  • Date of Birth

  • Non-Case Email Address

Please take care to make sure that all of the above information is entered correctly when using the form. If anything is incorrect, the user will likely have difficulty activating and using their account.

Once you have the above information, you can request an account by doing the following:

  1. Go to https://its-services.case.edu/my-case-identity/affiliates/request/.

  2. Select "Request a new account." Click "Continue."

  3. Enter the information listed above, taking care to make sure that everything is spelled correctly and the date of birth is entered correctly.

  4. Choose the appropriate School or Business unit. If the user will not be affiliated with a specific school, choose "University General."

  5. Choose an affiliation. If none of the listed affiliations seem appropriate, choose "Affiliate (Other)."

  6. Choose an expiration date for the account's affiliation. This defaults to one year in the future. Expiration dates beyond one year cannot be chosen and the ID will need to be renewed at that time if it is still needed.

  7. Click "Create new account."

If all of the steps have been followed correctly, you should see a green "Success!" message. If you see this message, the ID has already been successfully created and you and the user will be sent an email containing instructions on how to activate the account. 

If the user needs any assistance with activating their account, please have them email help@case.edu or call 216-368-4357 (HELP).

Incorrect Information note: if you learn that any information has been entered incorrectly, please open a ticket by emailing help@case.edu or calling 216-368-4357 (HELP). UTech will correct the information on the account and the user should then be able to activate it. Please do not create a second account with the correct information.

Duplicate Discovery note: if you later learn that the user already had a Case Network ID, please open a ticket by emailing help@case.edu or calling 216-368-4357 (HELP) and let us know which ID the user would like to keep. If they are unsure, IDs that already exist in HCM or SIS or have been used for email or Google Drive are preferred so that no information needs to be transferred and no other systems need to be updated. 

Terminating an Affiliate Account

If you are aware that a user is leaving the university and you know what affiliation was chosen for the user's account, you can use the Affiliate Request form to set the appropriate expiration date. Please see the "Renewing an Account" section for instructions on how to do so.

If you do not know what affiliation was chosen for the user's account or they have already left the university, you can request immediate termination of their affiliate access. Please submit a support request using the Technical Support link on the right; email help@case.edu or call 216-368-4357 (HELP) and your ticket will be escalated to the appropriate party to handle the termination.
