Getting Started with Webex app

"Webex Calling" is a cloud-based Unified Communication Service marketed by Cisco that is used at CWRU to provide softphones for the University.  This article documents installation and set up for Webex app.

Webex app can be installed in your PC/Mac and, optionally, your mobile device.  Please make note of whether your PC/Mac is managed by the University or not. 

 

Getting Started

  1.  Be sure your office number has been provisioned for Webex Calling.
  2. Download and install Webex App
    • CWRU Managed PC - Webex app is available in the "Software Center" App (Start Menu -> Software Center app )Uploaded Image (Thumbnail)

      • Note:  Managed PC means you have to sign into your computer using your CWRU Network ID and Passphase
      • Note:  Software Center app is not the same as https://softwarecenter.case.edu
    • CWRU Managed MAC - Webex app is availalbe in the "CWRU Self-Service" app
    • Unmanaged PC/MAC - Visited https://www.webex.com/downloads.html.  Download and install Webex app for your PC/MAC.
    • If "Webex" is not available in "Software Center" app or 'Software Center' app is not available 
    • Mobile Device - Scan QR Code to download mobile app  qr code
  3. Open the Webex app
  4. Click Sign in and enter your CWRU network ID (e.g. abc123@case.edu)
    • You may be redirected to a Single Sign On site.  If so, re-enter your CWRU network ID and your passphase and responded to any DUO 2FA request.
  5. If prompted, read the "Emergency Calling Notification" notice carefully and click OK. 
  6. Enter your location information if prompted (address).
  7. Your Webex App is ready to make and receive phone call
  8. Make a call
    • Select the Calling tab in the navigation panel (left side for PC/Mac; bottom for mobile device)
    • Do one of the followings:
      • Enter the phone number using the dial pad 
      • Select the phone number from your call history
      • Select the phone number by search for the user
  9. Answering a call
    • When a new call arrives, a notification message will appear with the options to answer or decline the call.
  10. Optional settings
    • Open the app automatically when your computer starts (PC/Mac)
      • Click Settings Settings button represented by a cog icon  on the navigation sidebar, and then select General
      • Check or uncheck the "Start Webex when my computer starts".
    • Verify your speaker and microphone settings
      • Click Settings Settings button represented by a cog icon  on the navigation sidebar, and then select Audio
      • Verify or change speaker / microphone device if necessary.

  1. Set up your Webex Calling Voicemail
    • Set up your PIN
    • Record your name
      • Webex Calling recommends user to record their name at the very minimal in order to have a functional voicemail box.
      • Call the Webex Voicemail Portal at 216-754-1600
        • If you are dialing from a non-campus number, you will be prompted to enter your Voicemail box ID first.  Your Voicemail ID is the full 10 digits of your number (e.g. 2163681082)
      • Enter your PIN
      • If this is your first time accessing the Voicemail box, you will be required to record your name.  You will be given a chance to review your recording before accepting it.
